Moose Hollow Terms & Conditions

1. Welcome
Moose Hollow owners and Staff welcome you to the beautiful Smoky Mountains! This cabin is privately owned and we ask that you treat it as you would your own property.

2. Reservation Requirements
An advanced reservation payment of $3,000 is required to confirm your booking. Any deviations require owner approval. Reservations made under false pretenses will forfeit all payments and be canceled.

3. Cancellations without Travel Insurance
No refunds within 90 days of arrival. Cancellations outside 90 days receive 100% deposit refund minus $250 processing fee. All cancellations prior to arrival receive the $79 damage deposit refunded.

4. Cancellations with Travel Insurance
If you purchased CSA Travel Insurance, all refunds are handled through CSA (866-999-4018). Policies must be canceled within 15 days to receive a refund.

5. Moving Dates
Moving dates are at the owner’s discretion. Payment remains due on the original date. Moving to a closer date shifts the 90-day payment window. Cancellations after moving forfeit payment.

6. Payments
Acceptable payments: Visa, MasterCard, Discover, AMEX, personal checks, money orders. Check payments must arrive within 14 days. Final payment due 90 days prior to arrival; if booking within 90 days, full payment is due at reservation.

7. Property Damages
Guests are responsible for returning property in good condition. Damages (e.g., smoking indoors, broken windows, spills, climbing on roof) will be charged.

8. Damage Insurance
Accidental damage insurance of $3,000 for $79 is included. Does not cover negligence. See insurance coverage.

9. Age Requirements
Guests must be 25+ unless a written waiver is provided. False age claims will result in eviction and forfeiture of payments.

10. Landlord Rights & Premises Use
The Landlord may inspect premises without notice. Violation of terms may result in immediate termination. Tenants must vacate promptly at expiration.

11. Emergencies
For emergency medical or police services, dial 911.

12. Maintenance & Cleanliness
Maintain the premises in clean and rentable condition. Pay for repairs if property is left damaged. Trash must be placed in bins; do not leave outside long periods to avoid attracting animals.

13. Pets Policy
No pets without owner approval; $75 fee per approved pet.

14. Maximum Occupancy & Behavior
No more than 56 persons. Be good neighbors, avoid disturbances. Quiet hours start at 10 PM. Pool and outdoor noise must be minimal.

15. Smoking
No smoking indoors. Smoking allowed outside; use provided receptacles.

16. Provided Items & Consumables
Towels, linens, dishes, utensils provided. Consumables like soap, toilet paper, and dish detergent are provided initially; additional use must be supplied by tenant. No reimbursement for unused items.

17. Indemnification & Insurance
Tenants indemnify Landlord for personal injury or property loss. Tenant property insurance recommended.

18. Legal Fees
Tenants agree to pay reasonable legal fees if Landlord enforces this agreement.

19. HVAC Instructions
Bedrooms #1 and #2 are self-controlled, stand-alone units. Best use: keep doors closed while operating. Turn off units at checkout (no red light on thermostat). Do not run AC while rest of house is heating and vice versa.

20. Acts of God
No refunds for weather, acts of governmental agencies, fire, strikes, war, or other events outside Landlord control.

21. College Organizations
College groups require $3,000 refundable security deposit; damages deducted if applicable. No renting to under-25 unless approved.

22. Pool Policy
Guests supervise minors. Swimming at own risk. Secure doors, windows, hot tub after use. Do not alter water or room temperatures.

23. Firearms & Fireworks
Only legal firearms allowed. Airsoft guns strictly banned ($100–$300 penalty). No fireworks or hazardous materials on property.

24. Illegal Use & Owner Access
No illegal activity. No access to owner closet. Gas appliances require proper understanding; call management if unsure. Fire extinguisher and alarms must be reported if not functioning properly. Lock doors/windows for security.

25. Valuable Items
Items left behind are held for 6 months; then become Landlord property. Tenant pays return shipping costs.

26. TV & Internet
Cable TV and internet provided as convenience. No refunds for outages, content, speed, or personal preference.

27. HVAC Settings & Energy
AC not below 75°F, heat not above 78°F, fan on Auto. Close doors/windows when HVAC is running.

28. Housekeeping / Maid Service
Bed linens/towels not changed during stay. Missing linens $200, towels $100. Initial soap, detergent, garbage bags, paper towels provided; replenish as needed. Additional cleaning available upon request.

29. Maintenance During Stay
Report issues promptly. Staff may enter units to respond. Mechanical failures do not entitle refunds.

30. Check-In / Check-Out
Check-in 4 pm, check-out 10 am. Late check-out permitted at $75/hour with owner approval. Follow check-out instructions for cleaning, thermostat, and securing property.

31. FAQ & Additional Info
Bedroom #9 has a privacy curtain per fire department requirements; offers privacy but less sound isolation than a standard door.
