IMPORTANT INFORMATION ABOUT YOUR STAY AT FAIRVIEW COTTAGE

Thank you for choosing to enjoy your vacation at Fairview cottage and the beautiful community of Carillon Beach. In order to ensure your stay will be as pleasurable as I know it can be I have some requests and recommendations so please read this information I have created for you.

These are the Rental Terms and Conditions for your rental of Fairview cottage to which you agree:

Please remember to bring the keys I have mailed you before you leave your home. In the event you forget your keys please contact me at 615-881-8000 and I will make arrangements to get another set to you.

CHECK IN: Check in is 4:00 p.m. Central time. Please do not arrive prior to 4:00 p.m. and ask for an early check in. My housekeeper is paid to clean the cottage from 10:00 a.m. to 4:00 p.m. so as to make it properly presentable and in the manner in which it should be for you as my valued guest. This is for your benefit so please allow her the time I have given her to do her job on your behalf.

CHECK OUT: Check out is 10:00 a.m. Central time, promptly please. Late departure WILL incur a $100.00 charge to be charged to your credit card. If my housekeeper arrives at 10:00 a.m. and has to leave only to return later to clean the cottage because it has not been vacated you will be charged a $50.00 trip charge for the housekeeper in addition to the late departure charge that WILL be assessed. Upon your departure please mail back the key(s) in the postage paid envelope provided with your reservation packet. You can deposit them in Carillon Beach Post Office drop box on your departure from the community. The post office drop box is located on Village Way in the downtown area of Carillon Beach. I have noted its location for your convenience on the community map I have sent you with your check-in packet of information.

Upon departure, please complete the following:

1) Please place all dishes in the dishwasher and start the clean cycle.

2) Please leave all sheets ON the beds.

3) Please do not launder ANY of the linens, including towels. I am required by the health department to launder all linens in a manner that disinfects them properly so please leave the laundry for my housekeeper.

4) Please leave all towels on the towel racks and not in the laundry baskets or on the floors. This is to prevent them from mildewing. Wet towels and wood floors are incompatible so please do not leave any towels on the wood floors.

5) Please place all properly bagged and tied trash in the trash cans located outside and beside the front door. Trash will absolutely NOT be collected if it is not properly bagged and tied.

6) Please dispose of all opened food you do not want to take home with you. If you have unopened food you do not wish to take home you may leave it for my housekeeper as it is always appreciated.

7) Please make sure all windows and doors are properly locked. Door locking directions have been given to you in this packet of information so you can be sure to lock them correctly. This is very important in case it rains after your departure and the housekeeping staff has not yet arrived to make sure all windows and doors are properly secured.

SECURITY DEPOSITS: ivacationonline.com Warranty Protection (IWP)
ivacationonline.com Warranty Protection (IWP) is included for any damages or accidents, subject to exclusions and limitations that occur to the premises during your rental period up to $3,000. Any damage or accident that is not covered under the policy will be the responsibility of the leaseholder.

A charge of $49.00 for the ivacationonline.com Warranty Protection (IWP) will be added to your quote to insure the property against any damage that might occur during your stay. In the event there is damage to my home in excess of the coverage provided by this policy or not covered under this policy, you as the leaseholder are responsible for any and all additional damage cost(s) for repair or replacement. In the event of non-payment by the leaseholder for any additional damage, forcing me to seek payment through legal channels, any and all costs incurred to recover lost damages, including legal fees, will also become your responsibility as the leaseholder. I expect you will be honest and let me know if there is any damage prior to my housekeeper finding it and informing me. I will do my best to treat you properly and with respect and ask that you do the same.

RESERVATION DEPOSIT: A 50% NON REFUNDABLE advance payment is required in the form of an electronic check or credit card payment at the time your reservation is made so as to secure your reservation. Balance of payment is due 60 DAYS before your contracted arrival date also to be paid by electronic check or credit card payment. When your final payment is made the keys for Fairview cottage will be sent to you via U.S. Mail approximately 2 weeks prior to your contracted arrival date. Please make your final payment in a timely manner so I have plenty of time to send you keys for Fairview cottage via mail. If you make your payment late and I have to send the keys to you via an express service such as FED EX or UPS, the charge for this service will be charged to your credit card. All electronic checks are subject to a $50.00 returned check fee.

CANCELLATIONS: You must contact me if you decide you must cancel. If cancellation occurs at any time and for any reason once a rental contract is signed by the leaseholder, said leaseholder is responsible for full payment of the base rental amount regardless. If I am forced to obtain payment through legal channels for a reservation for which the full base rate has not been paid, any and all fees incurred to obtain payment from the leaseholder also become the responsibility of said leaseholder. In the event of an impending hurricane and you are REQUIRED to leave my home once your stay has begun (mandatory evacuation is called by our appropriate local government agency) I will be happy to reschedule the balance of your trip during a like time period in the future- scheduling permitting. Early departure for any reason whatsoever, including inclement weather, does not warrant any refund once your stay has begun. No refunds are given for late arrivals.

Please verify your travel dates to be sure they work for your schedule as there is a no refund policy in effect for cancellation of your reservation. Please purchase trip cancellation insurance to protect your trip and financial investment in it. Trip cancellation insurance can be purchased through the rental quote I send you and you will be required to either accept the purchase or decline the purchase by selecting the appropriate radio box on the quote. Protecting the investment in the trip is the responsibility of the lease holder, not the property manager/owner. Please read below for more information on the travel insurance offered to you.

Every year, snowstorms, hurricanes and other unexpected weather events cause travelers to delay, interrupt or even cancel their trips completely. A travel insurance plan can help cover your vacation investment. Specific coverage questions should be directed to Travel Guard (1.877.246.5376 or www.travelguard.com/astp). RATES: All rates subject to state and local taxes. Rates include a one-time linen and towel set-up and cleaning service at time of departure. Daily maid service is not included. If additional service is required please let me know when you make your reservation and I will be happy to arrange this for you at an additional charge.

SMOKING: FAIRVIEW COTTAGE IS A NO SMOKING PROPERTY. EVIDENCE OF SMOKING INSIDE MY HOME WILL INCUR AN AUTOMATIC CLAIM ON THE PROPERTY DAMAGE PROTECTION POLICY PURCHASED FOR YOUR STAY. IF THERE IS ANY DAMAGE ABOVE AND BEYOND THE AMOUNT PROVIDED FOR IN THE PROPERTY DAMAGE PROTECTION POLICY ANY AND ALL ADDITIONAL COSTS INCURRED TO RESTORE THE PROPERTY TO ITS ORIGINAL CONDITION WILL BE CHARGED TO YOUR CREDIT CARD.

PLEASE!!! NO CIGARETTE BUTTS IN THE DUNE OR IN THE YARD! DRY PINE STRAW IN THE YARD AND SEA OATS ON THE BEACH CATCH FIRE VERY EASILY. PLEASE FIND AN APPROPRIATE RECEPTACLE FOR ALL TOBACCO PRODUCTS AND MATCHES.

PETS: PLEASE LEAVE ANY AND ALL PETS AT HOME. EVIDENCE OF A PET INSIDE MY HOME AT ANY TIME DURING YOUR STAY WILL INCUR AN AUTOMATIC CLAIM ON THE PROPERTY DAMAGE PROTECTION POLICY PURCHASED FOR YOUR STAY. IF THERE IS ANY DAMAGE ABOVE AND BEYOND THE AMOUNT PROVIDED FOR IN THE PROPERTY DAMAGE PROTECTION POLICY ANY AND ALL ADDITIONAL COSTS INCURRED TO RESTORE THE PROPERTY TO ITS ORIGINAL CONDITION WILL BE CHARGED TO YOUR CREDIT CARD. DO NOT SNEAK YOUR PETS INTO MY HOUSE. PLEASE BOARD THEM OR ASK SOMEONE TO WATCH THEM WHILE YOU ARE AWAY. I HAVE MANY GUESTS WITH PET ALLERGIES AND I TRY TO KEEP THE COTTAGE AS USER FRIENDLY AS POSSIBLE FOR ALL PARTIES. PLEASE BE CONSIDERATE OF EVERYONE INVOLVED AND ALL WILL HAVE A GREAT TIME.

OUT DOOR GRILLING: PLEASE USE THE BARBECUE GRILL IN THE DRIVEWAY ONLY! THE BARBECUE GRILL IS NOT TO BE TAKEN TO THE BACK DECK (BEACH SIDE) TO USE. IT IS A FIRE HAZARD TO USE THE GRILL UNDER THE AWNING AND IS PROHIBITED BY THE FIRE MARSHAL. BEACH WINDS ARE EVER CHANGING AND UNCERTAIN AND CAN TURN A BARBECUE FLAME INTO A FULL-BLOWN FIRE IN MOMENTS! PLEASE DO NOT JEOPARDIZE MY HOME FOR A FEW MINUTES OF PLEASURE OR CONVENIENCE! PLEASE DO NOT LEAVE THE GRILL UNATTENDED AT ANY TIME.

ADDITIONALLY, THE GRILL WILL BE CLEAN WHEN YOU ARRIVE. IF YOU USE THE GRILL PLEASE DUMP ALL ASH INTO THE TRASH BAGS PROVIDED WHICH ARE LOCATED NEXT TO THE WASHER/DRYER IN THE GARAGE. PLACE THE ASH INTO THE OUTSIDE TRASH CANS PRIOR TO YOUR DEPARTURE. DO NOT DUMP THE ASH INTO MY GARDEN UNDER ANY CIRCUMSTANCE WHATSOEVER OR A CLAIM WILL BE MADE AGAINST THE PROPERTY DAMAGE PROTECTION POLICY PLAN PURCHSED FOR YOUR STAY IN ORDER TO RESTORE THE GARDEN TO PROPER ORDER.

CARS: Automobiles must be parked off the street. I can accommodate a total of two (2) cars- one (1) in the garage and one (1) in the driveway.

BEACH EQUIPMENT: One set of wood chaises with cushions and umbrella is provided as part of your rental contract in season between March 1st and October 15th from 8:30 a.m. to 5:30 p.m. Additional sand chairs are in the garage and are available for your use as desired. You may rent additional chaises/cushions/umbrella set-ups from our beach service provider who will be happy to help you. His contact information is provided at the end of these rental terms and conditions.

BEACH TOWELS: Beach towels and beach blankets are not provided so please plan on bringing these with you.

BICYCLES: I have provided 6 bicycles of various size to accommodate most people who stay at Fairview cottage. These bicycles are a courtesy that I extend to you so you do not have to incur additional cost by renting these separately. I maintain these bicycles for you so they are operational upon your arrival. I expect you to care for these bicycles as if they were your own. Please use the bicycles locally and do not transport the bicycles on your vehicle. If you lose a bicycle during your stay, you will be charged $150.00 to replace the bicycle regardless of its size/age. If you damage a bicycle during your stay beyond what is considered normal wear and tear I will assess the cost of the repair to you and charge it to your credit card accordingly. Operate the bicycles safely. It is recommended that you wear a helmet. Please either rent helmets or bring them from home. Due to hygiene issues I do not and cannot provide helmets for use. You agree to use the bicycles at your own risk and agree to hold the owner/manager harmless for any injury to your person or and person in your rental party, your personal property or to any other person or property whom/that you encounter. It is possible that if a bicycle is damaged during your stay I may not be able to get it repaired for continued use during your stay based on local bicycle shop repair times and the nature of the damage to the bicycle. You are required to notify the owner/manager of any damage to any bicycle, no matter how small. This is a safety issue for all concerned and must be addressed immediately so all are kept safe.

OCCUPANCY: Please note that your reservation has been accepted and confirmed based on the number of guests stated at the time you made your reservation. No other guests are allowed into my home unless you inform me that there has been a change in the number of people arriving, owner/manager permitting. Renters found to exceed the original stated number of guests without prior knowledge and consent will be escorted from the premises by the Bay County Sheriff’s Department personnel. Any reservation obtained under false pretense will be subject to forfeiture of advance payment, security deposit, and/or entire rental fee and the party will not be permitted to check in.

Maximum occupancy for Fairview cottage is 6 guests.

No contract will be entered into with any person aged 28 or less.

***Identification to enter into any contract for rental of Fairview cottage will be required, either in the form of a valid driver’s license and/or passport.
